Document Retrieval Specialist

Document Retrieval Specialist

Position Type: Mon-Fri 9:00 AM – 6:00 PM EST
Location: Remote (Work from Home)

About the Role:

We are hiring a reliable, detail-oriented Document Retrieval Specialist to join our patient support team. In this role, you will help ensure patients in the United States receive their insurance-covered diabetic testing supplies and other eligible medical screenings, while maintaining strict adherence to HIPAA, CMS, and DMEPOS compliance standards.

Technology Requirements:

  • A functioning desktop or laptop (Windows or Mac)

  • Stable internet connection (minimum 35 Mbps)

  • Noise-canceling headset

  • Secure, quiet workspace with minimal interruptions

Key Responsibilities:

  • Contact patients to confirm orders, provide product education, and update them on order status

  • Call physician offices to request or verify documentation (e.g., prescriptions, chart notes)

  • Guide customers through the documentation and coverage process

  • Collect, verify, and document insurance and medical history information

  • Maintain accurate records and uphold confidentiality in all interactions

  • Follow all HIPAA regulations and company data-handling policies

  • Support the team in achieving quality and performance metrics

Requirements/Qualifications:

  • High school diploma or equivalent required

  • Minimum 4 years of BPO or remote customer service experience (preferably healthcare-related)

  • Strong written and spoken English communication skills

  • Prior experience working with US insurance (Medicare/Medicaid/DMEPOS knowledge preferred)

  • Familiarity with HIPAA and CMS-compliant documentation practices

  • Proficiency in Microsoft Office (Excel, Word) and Google Workspace (Docs, Sheets)

  • Ability to multitask and remain professional in a high-volume, fast-paced setting

  • Attention to detail and commitment to accuracy are critical
